Build your Japan cost model

Values start with the worked example below. Replace every allowance with your own quote. Changing the currency clears amounts; it does not convert them.

Your estimate starts here

Calculate to see the total, cost drivers and missing allowances.

Tokyo-only, Tokyo + Kyoto, or a third base?

Decide where you will sleep before multiplying daily spending. A Tokyo stay uses one hotel base; adding Kyoto introduces intercity tickets and a second check-in. A third base needs its own reason to justify another transfer, luggage handling and the time lost between rooms.

Save your first route as scenario A. For Tokyo + Kyoto, replace the intercity allowance with your actual rail and airport-transfer quotes and adjust the nightly room average. Compare arrival in Tokyo and departure from Kansai with a Tokyo return flight: any avoided return rail journey must be weighed against the airfare difference.

When a cheaper hotel does not save money

Compare the full room bill with the transport your chosen address creates. As an illustrative trade-off, saving JPY 3,000 on each of two hotel nights saves JPY 6,000; an extra JPY 10,000 group transfer would erase that saving and add JPY 4,000 before the buffer. Include station access and luggage, not just the headline room rate.

Rail and airport access are separate purchases

Put Tokyo–Kyoto Shinkansen tickets, any return leg and airport-to-city journeys in the whole-group intercity / airport field. Keep metro and subway journeys in local transport per person per day. If a pass covers a train, count the pass or the covered ticket, never both. Price the journeys you will actually take before deciding that a pass pays for itself.

An IC card is a payment method for eligible local journeys, not an unlimited-travel budget. Allocate the fares once; loading money onto the card does not create a second expense. Check the airport, terminal and hotel connection before choosing an express train or a cheaper route with more changes.

Worked budget: eight days between Tokyo and Kyoto

Two adults share one room for four nights in Tokyo and three in Kyoto. All figures below are illustrative planning assumptions made on September 15, 2026, not live prices or national averages. The form starts with this example; replace each amount with a dated quote.

  • Accommodation: JPY 14,000 for all rooms per night × 7 nights = JPY 98,000.
  • Food: JPY 4,000 per traveler × 2 × 8 days = JPY 64,000.
  • Local metro/bus allowance: JPY 1,000 × 2 × 8 = JPY 16,000.
  • Intercity / airport transport: JPY 40,000 for the group, composed of an invented JPY 30,000 rail allowance and JPY 10,000 airport-access allowance.
  • Attractions/reservations: JPY 12,000; eSIM/data: JPY 3,000; luggage forwarding in the baggage field: JPY 5,000.
  • Insurance: JPY 6,000; shopping: JPY 15,000. International flights are unpriced and remain zero.

The subtotal is JPY 259,000. A 10% contingency adds JPY 25,900, giving JPY 284,900 before flights: JPY 142,450 per traveler, or about JPY 17,806 per traveler per day. Removing the JPY 30,000 rail allowance while holding other inputs constant lowers the total by JPY 33,000; that isolates rail cost, not a complete Tokyo-only quote.

Where the Japan allowance can grow

Build food from actual days: convenience-store breakfasts, casual lunches and selected restaurant dinners need different allowances. Add your planned restaurant splurge to the food total before deriving a daily average. Do not present one spending level as representative of every visitor.

Cherry-blossom dates, holidays and popular event periods warrant checking accommodation availability early. Use the quote for your exact nights and room occupancy. Reserve attractions by date where required and include paid observation decks, museums or theme parks deliberately; a full sightseeing day does not imply everything is free.

Decide what happens to the suitcase

Measure packed bags before reserving rail seats. Smart EX explains the current oversized-baggage rules for its Shinkansen services. If forwarding a suitcase, ask the carrier and receiving hotel about delivery timing and acceptance, pack overnight essentials separately, and enter the quoted service charge in baggage. Do not also hide that charge in the rail allowance.

Assumptions and Japan source checks

Room costs multiply by hotel nights; food and local travel multiply by people and spending days. Other amounts are whole-group totals. Scenario A lasts only in this tab; the contingency is an uncertainty allowance, not insurance. Payment fees can be checked in the Travel Money Centre and added to your final provision without counting cash withdrawals twice.

Reviewed September 15, 2026. JNTO transport guidance explains the transport options; Smart EX baggage guidance covers the railway's reservation requirements. Neither source endorses the invented example prices. Use your accommodation, railway, airport-transfer and luggage providers for the actual charges.
